How Teams work

Group your workers into teams so a job can be booked to “Team 1” instead of naming everyone every time.

Creating a team

From Settings → Team, say how many teams you run and TradeFlow365 creates them for you — Team 1, Team 2, and so on. Rename them to whatever you actually call them (“Van 1”, “The Bristol crew”) whenever you like. You can add more teams later the same way; it never touches the teams you've already got.

Default team members are optional

Each team has a default members list — the workers who usually make up that team. It's a convenience, not a requirement: assign it if the same people usually work together, or leave it empty if the team changes regularly and you'd rather decide who's on it each time you book a job. A team with no default members is completely normal — it's not an error or something you've forgotten to finish.

Booking a team before you know who's doing it

When you assign a job, tap a team and (if it has default members) they're pre-filled for you — add or remove people as needed before saving. If the team has no defaults, or you'd rather decide later, save it anyway: the job shows “Team 1 — workers not chosen” until you come back and pick someone. That's a normal, saved state, not something blocking you from moving on.

Adding or changing workers later

Open the job at any time and tap the team/worker area to add someone, swap them out, or fill in a “workers not chosen” job once you know who's going. The team stays responsible for the job the whole time — changing who's actually doing it doesn't change which team it belongs to unless you deliberately pick a different team.

Team responsibility vs who's actually doing the job

These are two different things, on purpose. Which team is responsible for a job, and which individual workers are actually assigned to it, are tracked separately. A worker doesn't automatically get a job in their My Jobs list just because they're usually part of the team that's responsible for it — only being individually assigned to that specific job does that. This is what makes “workers not chosen yet” safe: nobody gets sent to a job nobody's actually confirmed for.

Changing a team's usual members doesn't rewrite old bookings

Default members are only ever used at the moment you tap a team while booking a job — TradeFlow365 copies them in there and then and doesn't look at the team's current defaults again. So if Team 1's usual pair is Gareth and Ben when you book Friday's job to them, and you change Team 1's defaults to Gareth and Dave on Tuesday, Friday's job still shows Gareth and Ben — exactly who it was booked with. Nothing about updating a team's usual line-up ever changes work that's already on the diary.
